1. Anchor the comparison

Identify the same vehicle and component at pickup and return. Record timestamps and references for both inspection points before arguing about the amount.

2. Freeze the money trail

Record the deposit hold and proposed charge in their own currencies and statuses. A zero or released amount still needs a statement, receipt or written confirmation.

3. Close the response loop

Write down the provider deadline, response, escalation route, fallback and next review. Silence, an expired deadline or a duplicate record is not a resolution.

Is this the same as the rental-car handover checklist?

No. The handover checklist helps collect pickup and return observations. This planner tracks a later damage or deposit case: notice, deadline, response, escalation, decision and resolution.

Can a record be Ready when the provider has not replied?

No. A requested, partial, refused or unknown provider response stays open. A deadline must also be recorded; the tool does not infer consent from silence or a released deposit.

Why are pickup and return evidence both required?

A dispute needs a comparison, not only a new-damage photo. If either inspection record is missing or partial, the record remains blocked so you can seek the original report or an explanation.

How should I record a deposit hold or proposed charge?

Enter the amount, three-letter currency, status and a reference to the statement, receipt, invoice or written message. Enter zero only when the no-charge state is documented.

What do duplicate and conflict groups mean?

Records with the same company, contract, vehicle, component, stage, discovery time and location are grouped. Identical records are duplicates; different evidence or decisions are conflicts. Neither can be Ready until reconciled.
