1. Record both clocks

Write down the reservation time and the branch hours in the local time zone. A date without a time zone is not enough for an airport or cross-border handover.

2. Price in the work

Subtract the travel estimate, pickup buffer and inspection or handover time before calling a pickup safe. For returns, compare the expected arrival with the contractual time plus the confirmed grace period.

3. Keep a real fallback

If after-hours collection, late notice or a grace period is not confirmed in writing, leave the record open and name the next branch, transport or accommodation action.

Why does the planner ask for both the booked time and the expected arrival time?

The booked time is the provider’s reference point; the expected arrival is your realistic plan. Comparing them exposes whether travel, a buffer and the handover work can fit before pickup or return.

What should I record for a branch that closes before my flight arrives?

Record the branch hours, the after-hours status, the exact key-collection instructions and the provider’s written confirmation. If the collection plan is only a phone promise or is unknown, keep the record open.

Is a return grace period automatically available?

No. A grace period may depend on the contract, branch, vehicle, location or time of day. Record the provider’s actual wording and do not treat an empty field as permission to arrive late.

Why does the tool flag a pickup even when the arrival time is before the booked time?

The arrival still needs to leave room for the pickup buffer and inspection or handover. Being technically early is not enough if the remaining minutes cannot cover that work.

What counts as written confirmation for a late arrival?

Keep a dated email, chat reply, booking note or call reference that identifies the booking and states what the provider will do. A generic opening-hours page or an unrecorded phone conversation does not confirm your case.

Does the planner send my booking or payment information anywhere?

No. It runs locally in this browser and does not upload data or use localStorage or sessionStorage. Use a private label and an evidence reference instead of copying unnecessary account or card numbers.
